Why does hosting a table matter?

In the past, these events have been crucial to the growth of Stand in the Gap. By introducing Stand in the Gap to new people who you believe will share our vision and mission, you are empowering widows, orphans, and prisoners to rise up out of crisis and into new life.

This June, you can help demonstrate one of the core values of Stand in the Gap, the power of community. By sharing our stories and mission with the people in your circle of influence, you are connecting people in need with people who care and creating a legacy of hope that will impact generations.

What is the goal of this event?

Our primary goal is to facilitate the growing impact of Stand in the Gap by introducing ourselves to new people. We hope the results of these introductions will be:

  1. Raising Funds. As you know, we have to raise money to accomplish our mission. Funds will be used to serve more orphans, widows, and prisoners and to support our volunteers through training and communication.
  2. New Volunteers. We can’t do this work without volunteers who invest in the lives of the people we serve. We know you know these people. Will you help us get to know them too?

What are my responsibilities as a table host?

Before the Event

  1. Register yourself and purchase your table. A member of our Board of Directors, Elizabeth Grayson, will reach out to provide support and information.
  2. Invite your guests. Templates and invitations are available on this page.
  3. Register your guests using the system above. Please complete your registrations by May 18.

Two Weeks Before the Event

  1. Connect with Karen Milstead (karen@sitgm.org) to make sure your table is registered and correct.
  2. Follow up in a timely manner to make sure your guests have all the information they need to be excited to attend.

Day of Event

  1. Arrive a little early to find your assigned table and welcome your guests.
  2. When prompted, give your table a short explanation of your connection to Stand in the Gap and why you’ve chosen to support us in this way.
  3. Collect any response cards and return to Stand in the Gap.

Who should I invite?

We know that you believe in the mission and ministry of Stand in the Gap. Your heart for connecting orphans, widows, and prisoners with equipped, safe, praying people who care is probably also well-known to your family and friends. So who do you know that shares your heart?

This event is all about the power of family. Who in your own family might be blessed and inspired by this message?

Consider your small group members, someone on staff at your church, your oldest friend, your co-worker who is a Hanson fan and wonders why you are “different”.

This promises to be a beautiful, enriching time together to celebrate the power of families and the church’s vocation to Stand in the Gap when families and communities have fallen short. It is a fundraising event (and one of our primary fundraising events of the year). So your guests will be asked to consider a financial donation.

The details

When: Thursday, June 1 @ 11:30

Where: Greenwood Cultural Center (322 N Greenwood Ave, Tulsa, OK 74120)

Duration: 1.5 hours

By purchasing a table, you covered the cost of lunch for yourself and your guests. So there is no cost to your guests to attend.

Lunch will be served with a vegetarian option available for those who need it.

You are responsible for registering your guests on our event webpage because only table hosts have access to the promo code GUEST which reveals free tickets for your guests. You can access that page and register your guests at any time at this link. Please try to fill your table and register your guests by May 18 (two weeks prior to the event).

How do I register my guests?

Please register your guests as soon as you have confirmation, but no later than May 18 (two weeks prior to the event) so we can finalize catering accordingly.

If you would like assistance registering your guests, please email Karen Milstead at karen@sitgm.org

  1. Gather the names (correct spelling) and email addresses of the guests you are ready to register.
  2. Navigate to the Legacy of Hope event page.
  3. Click “get tickets”.
  4. Enter GUEST in the promo code box and select “APPLY”. This reveals free tickets called Table Host Guest. Select how many guests you’d like to register at this time and click “check out”.
  5. Your contact information should remain at the top. Scroll down to “Ticket 1, Table Host Guest” and enter your guest’s first and last name, email address (this is how they will receive their tickets), and choose whether or not they’d like a vegetarian meal. Enter your name in the “Table Host Name” box. Repeat with any additional tickets you are ready to register.
  6. Click the check box to accept Eventbrite’s terms of service.
  7. When complete, click “Register”.
  8. You and your guests will both receive an email confirmation.

*You can return to our event page at any time to add additional guests. You do not have to register your entire table at once.

*To access their tickets, your guests will need to create an eventbrite.com account if they don’t have one already. They will be prompted to do this by email. This is a free service that will allow them to print tickets or have them accessible on their smartphone.

Invitation Templates

Below is a series of example emails that can be used to invite your guests. Feel free to simply copy/paste the text into an email or use them as a “script” for a phone call. Consider sending one of the invitations in the section below as well so your invitee has all the event details.

Be sure to pay special attention to the italicized lines that you can customize.

Email #1 – Send today!

Hi [Invitee],

[Personal Note – Where have you seen them lately? Have they attended this event with you before? Have you worked on project together recently? Did you attend an event that they invited you to (quid pro quo asks can be the easiest)?  Lastly, share with them why you are passionate about Stand in the Gap.]

Because I know you know the power of family and believe in acting to protect it, I wanted to invite you to join me at Stand in the Gap’s annual celebration and fundraiser on Thursday, June 1st at 11:30.

I hope you’ll join me to catch up over lunch, hear from Isaac Hanson (of the band Hanson!), and learn about Stand in the Gap’s mission and ministry.

Lunch will be served at Greenwood Cultural Center near downtown Tulsa. The cost of the table is covered, though I’d love for you to join me in making a gift to Stand in the Gap at the event! Please check your calendar and let me know if you can come as soon as possible.

Email #2 – A reminder to people who haven’t responded to your first invite

Hi [Invitee],

I know it’s hard to think about June 1 in the middle of spring, but I wanted to remind you of my invitation to Stand in the Gap’s Legacy of Hope event on June 1 at 11:30 – Are you free and interested in attending with me?

I’d love to have you join my table. The table has been purchased, so there is no cost to attend. But do keep in mind that there will be a financial ask during the program and I hope you’ll join me in supporting Stand in the Gap at that time.

Please reply to this email to let me know if you’re able to come. I need to update Stand in the Gap with guest names so they can move forward with planning, so please let me know as soon as you can.

Again, the lunch will be on Thursday, June 1, 11:30-1:00 at the Greenwood Cultural Center (322 N Greenwood Ave, Tulsa).

I hope you’ll be my guest on June 1 to hear from Isaac Hanson and be inspired by the church’s beautiful vocation to be family for orphans, widows, and prisoners!

I’m looking forward to seeing you on June 1 for Stand in the Gap’s Legacy of Hope event – thank you for being part of my table. You should have received a ticket by email. You can either print that ticket or show it on your phone. Let me know as soon as possible if you have any trouble finding your ticket!

Below is everything you need to know prior to the event:

When: Thursday, June 1, 11:30-1:00 (Doors open at 11:15 AM)

Where: Greenwood Cultural Center, 322 N Greenwood Ave, Tulsa, OK

If things come up and you are unable to attend, please give me a call as soon as possible and let me know if you know of someone who would like to come in your place.
